Status Tab

Progress on Active Events

View the user's "percent complete" for course events and qualification cards that he or she has been assigned to.

•Open (Blue): The percent of events assigned to the learner that they have not completed.

•Incomplete (Yellow): The percent of events that the learner has started, but not yet completed.

•Pass (Green): The percent of events that the learner has completed and passed.

•Not Pass (Red): The percent of events that the learner has completed but not passed.

Exam History

This report shows details about the user's exam completions.

Search

 

Use the Date Range calendar pickers to search for completed exams.

•Search Button: Click the Search button to find exam records. This will clear records from a previous search.

Exam History

•Exam ID: The unique identification number of the exam.

•Exam Title: The name of the course event that this exam was a part of.

•Completion Date: The date on which the learner completed the exam.

•Score: The grade that each learner earned on the test.

•Passing Score: The grade that learners must achieve in order to pass this exam.

VLS Training Event Records (VLS, External, Alternates)

View a list of the user's current and past course events.

Active Events/All Events Pie Chart

Recalculate Scores Button

Click this button to recalculate all of the scores on the learner's events. You may wish to do this if you have recently updated any of these scores.

Print Button

Click this button to open your printer controls and print the information on this screen.

Active Events/ All Events Tab

Active Events are those that have not yet expired.

•ID: The unique identification number of the event.

•Training Event: Click the event's blue title link to view the Event Completion Report for this event.

•Start Date: The date on which the training event became available to learners.

•End Date: The date on which the event is no longer available to learners.

•Default Instructor: The last and first name of the primary instructor assigned to this training event. Other instructors may also have taken part in it, but they would not be recorded here.

•Status: The learner's status in terms of completing and passing the training event. Options are:

o Open: The learner has not yet started the training event.

o Incomplete: The learner has not yet finished the training event.

o Pass: The learner finished the training event with a satisfactory score.

o Not Pass: The learner finished the training event with an unsatisfactory score.

•Progress: The percentage of the training event that the learner has completed so far.

•Score: The percent grade that the user earned on the event.

•Date Completed: The date on which the user finished the event.

•Date Expires: The date the course event will no longer be available, if applicable.

All Training Completion Records

All Training Completion Records

Found on a User's Information page, the All Training Completion Records report will display all completion credits given to a particular user including courses taken within VLS, external credits given to the user, and any alternative course credits.

The report displays the following:

•The title of the page with Learner Name

•A table that will list all training completions for that learner with the following columns

o VDM Program ID

o Course ID

o Course Title

o Alternate ID (blank or ID of the alternate)

o Status (the learner's completion status, e.g "Not Pass", "Pass")

o Date Completed

o Date Expired

o Active/Archived

 

•The ability to sort by any column in the table (Default sort will be by Course ID)

•An "Export (Excel or CSV)" button

Training Requirements

View a list of courses that the user can register for. These are broken up into general courses and those associated with their job position.

Print Button

Click this button to open your printer controls and print the information on this screen.

Expand/Collapse All Events Button

Click this button to automatically expand or collapse all of the training events for each course listed on both tabs.

Job Position/ General Courses Tab

Select a list of courses for the user's job positions or the list of General courses. The information displayed for both is the same.

•ID: The unique identification number of the course.

•Course: Click the blue title link to view Course Details.

•Events: The number of Course Events associated with the course. Click the blue number to display additional information or to register for the event.

o ID: The unique identification number of the event.

o Event: The name of the Course Event.

o Start Date: The date on which this lesson became available to learners.

o End Date: The date on which this lesson ceased being available to learners.

o Register Button: Click this button to register the user for this course event. If the user has already been enrolled in this event or completed it, that will be displayed instead.

 

Learner Documents

View or upload documents associated with the selected learner.

•Original File Name: The file name and extension of the document when it was uploaded.

•Document Title: The title entered for the document when it was uploaded.

•Comment: Any comments added regarding the document.

•Learner Can View: Whether the learner can see this document.

•Detail: Click this button to view the document, add comments, or edit this record.

Detail

•File Preview: View a preview of the file or click Open File to open it.

•Document Title: The title entered for the document when it was uploaded.

•Comment: Any comments added regarding the document.

•Completed Date: Select the date on which this document was completed, if applicable.

•Learner Can View: Check this box if the learner should be able to see this document.

•Original File Name: The file name and extension of the document when it was uploaded.

•Created By: The user who initially uploaded this document.

•Date Created: The date that the file was uploaded.

•Modified By: The user who edited this record this document.

Properties

Edit Edit Button

Click this button to make changes to the user's information or reset their password. Note that some options are only available if the Edit button has been clicked.

Change Password

Click this button to reset your password. You will be redirected to a page requesting you confirm your new password.

 

Name and Username

•Username/Employee Id: The system's identification code for the employee. VISION will create a unique ID with a combination of the user's first initial and last name.

•First Name: The full first name of the user as it has been entered in VISION Learning Station.

•Last Name: The full last name of the user as it has been entered in the VISION Learning Station.

Password

You will see several dots in this field. Even administrators can't view a user's password, they can only reset it. To do so, click the Change Password  button and confirm your new password.

Contact and Organization Data

•Telephone Number: A valid work contact number for the employee. This number may be added to reports or notification emails. Anyone with Administrator or Site Administrator security access will be able to see this information.

•Date Entered: The date that the user account was created. This date cannot be edited.

•Expiration Date: If the account is temporary, list the date that the account will expire.

•Organization(s): The organizations that this user belongs to. Click the Modify button to link additional organizations to the user.

•Email: Enter a valid work email address for the employee. This email address may be added to reports or notification emails. Anyone with Administrator or Site Administrator security access will be able to see this information. This field is required.

•Security Access: Select the user's security Access from the drop-down menu.

Security Role Definitions

•Learner: This security role is for students who will be assigned to courses and exams. A learner will only be able to access lessons and exams to which they has been assigned.

•Instructor: This role is for someone who will create and/or manage courses and course events. They will be able to interact with courses, course events, learners, assessment profiles and learner feedback as well as everything within the "Learner" role.

•Site Administrator: The site administrator will have complete access to his or her own organization, but not other reports or courses that belong to other organizations; as well as everything within the "Learner" and "Instructor" roles.

•Administrator: This role has complete access to every feature in VISION Learning Station and can view and interact with all of the data in the system.

Course and Qualification Options

•Must be Proctored: If you check "Yes" this person will be proctored even if the exam settings do not require it.

•Can Proctor Exams: Decide whether or not this person will be able to oversee others while they're taking exams. “Yes” will add this person to a list of proctors for the appropriate exams.

•Can Be a Qual Evaluator: Decide if this person will be able to evaluate others while they're doing qualifications. “Yes” will add this person to a list of evaluators for the appropriate qualifications.

•Can Be a Training Evaluator: Decide if this person will be able to train others on their job positions. “Yes” will add this person to a list of trainers for the appropriate job positions.

•Is an Active Trainer/Evaluator: This option displays whether the user is specifically assigned as an evaluator or trainer on a qualification card. If you click the user record's edit button and the Modify button next to this option you can see a list of the qual cards that the user is training or evaluating. This option does not display whether the user is training or evaluating under any other circumstances. See these instructions to Remove a Qual Trainer or Evaluator.

Other Options

•Active: "Yes" indicates that the user is currently active within the company and using the VISION Learning Station. If the user will no longer be using the VISION Learning Station, click "No" to archive this user record and store it.

•Job Position(s): The organization job position(s) that this user belongs to.

•Supervisor: The user's supervisor. Click the Modify button to change or add a supervisor for the user.

•User Defined 1, 2, & 3: Use these spaces to enter any relevant coding.

•Disqualify Trainee: This option is only available to Administrators.
