A recommendation of "Job Aid Only" is a recommendation to simply provide instructions, in the form of a Job Aid, for performing the task, in lieu of formally training the task. Job Aids are performance support materials that provide information in the context of doing a job.
Follow these steps to create a Job Aid:
1.On the Selection page of the Task Properties window, click No under the question, “Is this task selected for training?”
2.Next, select Job Aid Only from the “Why is the task not trained?” pull-down menu. If the item is not there, you will need to add it by selecting "(Edit List)."
3.You may wish to look at the DIF Survey Comments page to see if any comments were left regarding the task and Job Aid.
4.Enter the appropriate conditions on the Conditions page and click the Save button.
5.Enter the appropriate standards on the Standards page and click the Save button.
6. On the Analysis page, add any Task steps (Elements) that you want to add at this time.
a. You can do that by right-clicking on the task in the window under that menu item and selecting Insert and then Add Child from the popup menu. Here, you are editing a portion of the hierarchy through this window. All changes made to the partial hierarchy in this window will be reflected in the full Workbench hierarchy as well.
7.After you select As Child, the Element Properties window appears. Enter the first step (or Element) for the task in the Text field (on the General page).
a. When you click OK, your hierarchy will be automatically updated in VISION, and you will see the results on the Analysis menu item of the Task Properties window.
b. All changes on this page are permanent. Clicking the Cancel button at the bottom of the Analysis page will NOT undo any changes that are made here.
8.In VISION, you may also add procedure content at the Sub-Task and Element levels, on their Procedure pages.
9.Click on the Cross References page. Click the Link button, which will open a window for browsing the cross reference tables.
10.If there is a cross reference table that the task needs to be linked to, select that table in the upper pane and, in the lower pane, checkmark the items that you want to link to.
11.Repeat the last step for any other tables the task should be linked to. (Currently the Job Aid report lists only table links to non-shared tables having these User IDs: SAFETY and REFERENCES.)
12.When the items in the table are linked, you will see them listed on the Cross References page, back on the Task Properties window.
13.Next, select Outcomes on the Main Menu and click VISION Document. Click on the Training tab and select Job Aid. Click the Run button.

Steps for Modifying the "Why is the task not trained?" List
If the pull-down menu of the field “Why is the task not trained?” on the Selection menu item does not list the appropriate reason, you can modify or add to this list.
1.Select (Edit List) from the pull-down menu. (Edit List) will not be an option if you have not been assigned this privilege in VISION Security. 2.The List Items window appears. a. To edit an existing item, highlight the item and click the Edit button. Edit the text in the active Text window. After changing the text, click the Save button b. To add a new item, click the New button. Add the item in the active Text window and then click the Save button. c. To delete an item, highlight the item and click the Delete button. Click the Yes button at the "Are you sure you want to delete the following item?" prompt. |
